Job Title: Surgical Coordinator - 999118

Essential Job Functions: 1. Obtains pre-operative orders from surgeons.

2. Assists patients that are preparing for surgery by answering questions and addressing concerns. Troubleshoot any issues that may arise and resolve them in a timely manner.

3. Coordinates and schedules surgical procedures with facilities, patient, anesthesia, surgeon, and any other involved entities.

4. Reviews surgical documents and patients' chart to ensure proper medical clearance is obtained prior to procedure; communicates with hospital and surgeon to ensure clearance is received or status is changed if needed.

5. Acquires necessary medical records and documents for patients by communicating with other office locations or office personnel.


6. Verifies insurance coverage, obtains authorization, verifies submission of case request (booking sheet) and surgery date, submits clinical information required and communicates with patient, vendors, surgeon and hospital ahead of surgery

7. Ensures that all preoperative paperwork is completed, correct, and obtain proper signatures.

8. Schedules/performs EKG, chest x-ray, and any other pre-operative required tests.

9. Sends a copy of pre-op orders to referrals so required authorizations can be obtained.

10. Is responsible for documenting required tests, obtaining results, and providing documentation to doctors to determine if patient requires additional testing or is cleared for surgery.

11. Performs other duties as assigned or required.

Marginal Job Functions: 1. Travels to multiple clinic sites for meetings, trainings, and events.

2. Actively participates in developing marketing plan to generate elective surgical referrals and facilitate the process for effective patient care

3. Participate in weekly or bi-weekly meetings to monitor progress and identify areas of improvement
Required Knowledge, Skills, & Abilities: 1. Knowledge of medical terminology and understanding of pre-operative requirements.

2. Knowledge and understanding of legislation and regulatory bodies affecting medical practices.

3. Knowledge of HIPAA (Health Insurance Portability and Accountability Act) and OSHA regulations; ability to enforce OSHA regulations and infection control measures.

4. Ability to effectively communicate and deal tactfully with other personnel, visitors, patients, physicians, customers, and the general public.

5. Excellent interpersonal and customer service skills.

6. Ability to manage time effectively and prioritize work assignments.

7. Ability to effectively manage multiple tasks with strong attention to detail.

8. Ability to utilize various computer systems for scheduling, reporting and word processing.

9. Ability to effectively solve complex problems.

10. Ability to work in a multi-cultural and multi-ethnic environment.

11. Ability to work independently and as a team member.

12. Ability to maintain confidential information.

13. Ability and willingness to travel and provide coverage in other areas/facilities, including off-site locations.
Job Requirements:  
Required Certifications/Licensures: Dental Assistant Certificate
Required Education: High School Diploma or an equivalent degree resulting from a course of education in dental medicine.
Major (if required):  
Required Experience: Minimum of four (4) years' experience in a patient centered medical environment, preferably in a surgical department.

Prior experience with insurance pre-authorizations and scheduling of appointments/surgeries.
Preferred Qualifications: 1. Associate's Degree.

2. Certificate in Dental/Medical Terminology.

3. Certificate in ICD-9 and CPT Coding.

4. Bilingual English / Spanish / Creole.
