Essential Job Functions: 1. Telephones or writes letters/emails to respond to correspondence from existing and prospective students, or to follow up on initial contacts; to campus inquiries.

2. Contacts prospective students to present basic information and/or explain available programs and services. Communicates with prospects about, program offerings, admission requirements, pending admission documents, curriculum, and/or basic financial aid information by telephone or email.

3. Creates, maintains, and enters information of current status of prospects contacted in CRM. Keep current all communication with prospects and document all applicable activities and events in CRM.

4. Provides assistance in completing application and enrollment documents.

5. Completes forms in accordance with procedures.

6. Monitors and/or prepares reports of activities and tracking of prospects' and suspects' inquiries, applications, and student outcomes up to and including enrollment.

7. Coordinates or participates in promotional activities, including conferences, on-campus orientations, educational fairs, career days, campus tours, call campaigns, or special events to present programs to prospective students.

8. Greets visitors or callers and handles their inquiries or directs them to the appropriate persons according to their needs.

9. Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.

10. Sets up and manages paper or electronic filing systems, recording information, updating paperwork, inventories, or maintaining documents, such as attendance records, correspondence, or other material.

11. Uses computers for various applications, such as database management, word processing, shared documents, and research assigned projects topics.

12. Operates office equipment, such as fax machines, copiers, or phone systems and arranges for repairs when equipment malfunctions and submit work orders as requested.

13. Opens, reads, routes, and distributes incoming mail or other materials and answer routine letters.

14. Manages social media for assigned campus.

15. Schedules/manages room assignment request for classes, meetings, video conferences and special request.

16. Prepares conference or event materials, such as flyers or invitations, and room set-up.

17. Lead/support event preparations – assess event needs, purchase necessary event items, and set-up/break-down even area.

18. Acts as backup support for campus director and assistant directors in his/her absence.

19. Attends meetings, educational conferences, and training workshops and serves on committees.

20. Performs other duties as assigned or required.
Marginal Job Functions:  
Required Knowledge, Skills, & Abilities: Knowledge:
1. Basic knowledge of MS Office Suite (Outlook, Word and Excel).
2. Clerical - Working knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
3. Customer and Personal Service - Working knowledge of principles and processes for providing customer and personal services. This includes needs assessment, meeting quality standards for services, and evaluation of user satisfaction.
4. English Language - Working knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

2. Active Listening - Basic skills in giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
3. Speaking - Basic skills in talking to others to convey information effectively.
4. Critical Thinking - Basic skills in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
5. Reading Comprehension - Basic understanding of written sentences and paragraphs in work-related documents.
6. Writing - Basic skills in communicating effectively in writing as appropriate for the needs of the audience.
7. Coordination - Basic skills in adjusting actions in relation to others' actions.

1. Written Comprehension - The ability to read and understand information and ideas in writing so others will understand.
2. Selective Attention - The ability to concentrate on a task over a period of time without being distracted.
3. Deductive Reasoning - The ability to apply general rules to specific problems to produce answers that make sense.

Physical Requirements:
1. Static Strength - Must be able to exert maximum muscle force to lift, push, pull, or carry objects.
2. Near Vision - Must be able to see details at close range (within a few feet of the observer).
3. Speech Recognition - Must be able to identify and understand the speech of another person.
4. Speech Clarity - Must be able to speak clearly so others can understand you.
5. Travel - Must be able to commute to local meetings or events.
6. May be required to work nights or weekends.
7. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
8. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to pens, pencils, and computer keyboards.

Required Education: High School Diploma or Equivalent
Major (if required):  
Required Experience: High School Diploma and two (2) years of clerical/administrative experience in an office environment.


Associate's Degree and one (1) year of clerical/administrative experience in an office environment.
Preferred Qualifications: Associate's Degree
Basic knowledge of higher education environment
