Primary Purpose:
Provides administrative and clerical support to the Director of Continuing Education and Program Developer. Performs a wide variety of administrative tasks in department or unit including providing customer service and support by coordinating activities/functions to ensure efficient operations.

Essential Job Functions:
1. Serve as a primary point of contact for prospective and enrolled students, providing information regarding registration, program requirements, and schedules.
2. Process registrations and payments; maintain accurate records; and support event registration, attendance, and follow-up.
3. Coordinate logistics for departmental events, seminars, and conferences, including catering, room reservations, and audiovisual needs.
4. Generate and analyze reports on course enrollment, completion rates, and revenue trends.
5. Monitor program budgets, track expenditures, and prepare standard financial reports.
6. Support instructors with course preparation, instructional materials, and administrative needs.
7. Collect and compile course evaluations; assist with analyzing feedback to support program improvement.
8. Prepare and process payments, contracts, invoices, and related administrative forms
with attention to accuracy.
9. Maintain accurate records of enrollments, revenues, and performance metrics.
10. Prepare, edit, and distribute documents and promotional materials, including mail merges and mass communications.
11. Respond promptly to inquiries from students, faculty, and the public, resolving routine issues in accordance with departmental policies and procedures.
12. Maintain and update content on departmental websites and social media platforms.
13. Assist with community outreach initiatives and partnership development to promote continuing education programs.
14. Schedule and coordinate departmental meetings; prepare agendas and record minutes.
15. Manage inventory of office supplies and instructional materials.
16. May be required to work occasional evenings and weekends as needed.
17. Performs other duties as assigned.
Job Requirements:
Required Knowledge, Skills, & Abilities: 1. Intermediate knowledge of MS Office (Outlook, Word and Excel); data entry skills; Internet research skills.
2. Knowledge of office practices and procedures (e.g., filing, answering telephones, and supply/equipment ordering).
3. Ability to enter and verify information with accuracy.
4. Ability to understand and follow oral and written instructions.
5. Ability to maintain confidential information.
6. Organization and time management skills.
7. Proactive, punctual and reliable.
PHYSICAL REQUIREMENTS / WORKING CONDITIONS:
1. Ability to communicate effectively with others.
2. Ability to work cooperatively with colleagues and supervisory staff at all levels.
3. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
4. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to pens, pencils and computer keyboards.
Required Certifications/Licensures:
Required Education: High School Diploma or Equivalent
Major (if required:
Required Experience: High School Diploma and two (2) years of clerical/administrative experience in an office environment.
--OR--
Associate's Degree and one (1) year of clerical/administrative experience in an office environment.
Preferred Qualifications:
1. Previous experience in an academic institution.
2. Advanced computer skills.
3. Experience with Banner and Ariba.
