Primary Purpose:

Provides comprehensive administrative support to the B & J Silverman College Of Pharmacy including receiving and directing visitors, responding to and resolving complex inquiries and issues, managing telephone communications, coordinating meetings and events, composing and editing correspondence, and supporting daily office operations.

Essential Job Functions: 

1. Coordinates departmental activities and collaborates with other departments and work units to support efficient operations and effective communication.

2. Responds to inquiries and resolves non-routine issues requiring knowledge of departmental and university policies and procedures; provides guidance and information in a timely and professional manner.

3. Provides administrative support, including proofreading documents, transcribing information, preparing correspondence, and utilizing office technology and computer applications.

4. Performs general office operations, including ordering supplies, maintaining records and databases, and supporting basic financial and bookkeeping processes.

5. Enters, updates, and maintains data in NSU systems and generates reports to ensure accurate processing, reporting, and record retention.

6. Prepares and distributes invoices, reports, memoranda, correspondence, financial documents, presentations, and other materials using word processing, spreadsheet, database, and presentation software.

7. Establishes and maintains electronic and paper filing systems to ensure accurate documentation, organization, and record management.

8. Schedules, coordinates, and confirms appointments, meetings, and related activities for faculty, staff, students, or administrators.

9. Coordinates conferences, meetings, ceremonies, and special events, including logistical planning, calendar management, and event support.

10. Arranges travel, conference registrations, meeting accommodations, and related reservations in accordance with university policies and procedures.

11. Serves as a liaison with NSU’s OIIT department regarding web-based programs, systems, and event support needs.

12. Assists with compliance, accreditation, and administrative reporting activities by gathering documentation and supporting related processes.

13. Completes special projects as assigned.

14. Performs other duties as assigned or required.

Job Requirements: 

Required Knowledge, Skills, & Abilities: Knowledge:
1. Clerical - Thorough knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
2. Customer and Personal Service - Thorough knowledge of principles and processes for providing customer and personal services. This includes needs assessment, meeting quality standards for services, and evaluation of user satisfaction.
3. English Language - Thorough knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
4. Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).

Physical Requirements and Working Conditions:

4. Travel - Must be able to travel on a daily and/or overnight basis.

7. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to pens, pencils, and computer keyboards.


Required Certifications/Licensures: 

Required Education: High School Diploma or Equivalent

Major (if required: 

Required Experience: High School Diploma and four (3) years of clerical/administrative experience, and/or coordinating various projects in an office environment,

- OR –

Associate's degree and two (2) years of clerical/administrative experience and/or coordinating various projects in an office environment.
