Primary Purpose:
Contributes to the success of the Compensation function by providing administrative, analytical, and internal customer support for compensation-related programs, processes, and communications. Supports Compensation and internal partners by responding to sensitive and time-critical inquiries, administering assigned programs such as the Gift Card program, maintaining accurate records and data, and preparing reports and written communications with a high degree of professionalism, confidentiality, accuracy, and service excellence.

Essential Job Functions:
1. Provides administrative and operational support for compensation programs, processes, and cyclical activities to ensure timely, accurate, and efficient execution.
2. Responds to routine and non-routine inquiries from HR, managers, and employees regarding compensation-related matters, grants, gift cards, and other requests in a timely, professional, and confidential manner.
3. Administers the Gift Card program, including request intake, tracking, reconciliation, documentation, record retention, and issue resolution in accordance with established guidelines and internal controls.
4. Reviews requests, forms, and supporting documentation for completeness, accuracy, and compliance with established procedures; identifies discrepancies and follows up to resolve issues.
5. Enters, maintains, audits, and validates compensation-related data in HR systems, spreadsheets, and tracking tools to ensure data integrity and accurate recordkeeping.
6. Prepares, formats, and distributes recurring and ad hoc reports, summaries, and communications using Excel and other business tools.
7. Drafts, edits, proofreads, and maintains compensation-related correspondence, templates, job aids, and documentation using clear, concise, and audience-appropriate written communication.
8. Handles highly sensitive employee, compensation, and program information with discretion and maintains strict confidentiality.
9. Exercises sound judgment in identifying complex, high-risk, policy-sensitive, or urgent matters and escalates issues to Compensation leadership as needed.
10. Coordinates with HR, Payroll, HRIS, Shared Services, Finance, and other stakeholders to support compensation-related transactions and resolve issues effectively.
11. Monitors assigned workflows, deadlines, and service levels to ensure requests are completed accurately and within expected timeframes.
12. Supports audits, reconciliations, reporting activities, and special projects related to compensation programs and process improvement initiatives
13. Assists in documenting, maintaining, and improving procedures, workflows, and job aids related to compensation administration.
14. Performs other duties as assigned or required.
Job Requirements:
Required Knowledge, Skills, & Abilities:
Knowledge
1. Working knowledge of administrative and clerical procedures, records management practices, and office operations in a high-volume HR or Compensation environment.
2. Working knowledge of spreadsheet, word processing, and reporting applications, including intermediate to advanced proficiency in Microsoft Excel such as sorting, filtering, formulas, lookups, pivot tables, and data validation.
3. General knowledge of customer service principles and practices, including effective inquiry handling and service delivery.
4. General knowledge of English grammar, business writing, and professional document standards.

Required Certifications/Licensures:
Required Education: Associate's Degree or 60 College credits
Major: Business Administration, Human Resources, Finance, Accounting, or a related.
Required Experience: Two (2) or more years of human resources, administrative, or analytical experience.
Preferred Qualifications:
Proficiency in Microsoft Excel, including formulas, pivot tables, lookups, and reconciliation of data from multiple sources.
