Essential Job Functions: 1. Plans, manages, supervises, and coordinates work activities of subordinates and staff, including hiring, coaching, evaluating, and terminating.
2. Consults with clients to determine objectives and requirements for events such as meetings, conferences, and conventions.
3. Meets with sponsors and organizing committees to plan scope and format of events, to establish and monitor budgets, or to review administrative procedures and event progress.
4. Plans and develops programs, agendas, budgets, and services according to customer requirements.
5. Inspects event facilities to ensure that they conform to customer requirements.
6. Directs administrative details such as financial operations, dissemination of promotional materials, and responses to inquiries.
7. Organizes registration of event participants.
8. Create work orders detailing specifics of events and send to all appropriate departments also notifying Senior Staff when events will affect them directly.
9. Maintain comprehensive database of client information and all incoming monies in Excel producing weekly records of activity.
10. Input and maintain all Museum events and activities into the shared online master calendar.
11. Keep current certificate of Liability Insurance Policies with regard to caterers.
12. Update Museum Facility Policies and Procedures forms and advise caterers of all changes.
13. Designs and implements efforts to publicize events and promote sponsorship's.
14. Promotes conference, convention and trades show services by performing tasks such as meeting with professional and trade associations and producing brochures and other publications.
15. Organizes registration of event participants.
16. Coordinates services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
17. Obtains permits from fire and health departments to erect displays and exhibits and serve food at events.
18. Arranges the availability of audio-visual equipment, transportation, displays, and other event needs.
19. Evaluates and selects providers of services according to event requirements.
20. Negotiates contracts with such services providers and suppliers as hotels, convention centers, and speakers.
21. Hires, trains, and supervises volunteers and support staff required for events.
22. Confers with staff at a chosen event site to coordinate details.
23. Monitors event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
24. Conducts post-event evaluations to determine how future events could be improved.
25. Maintains records of event aspects, including financial details.
26. Reviews event bills for accuracy and approves payment.
27. Researches and analyzes community needs to determine program directions and goals.
28. Plans or develops communication of programs to maintain favorable public perceptions of the Museum
29. Prepares or edits organizational content for internal or external audiences.
30. Arranges public appearances, lectures, contests, or exhibits for clients to increase product or service awareness or to promote goodwill.
31. Promotes public appearances, lectures, or exhibits for clients to increase institutional visibility.
32. Speaks to community groups to explain and interpret Museum purposes, programs, and policies.
33. Reads trade publications, attends seminars, and consults with other meeting professionals to keep abreast of meeting management standards and trends.
34. Completes special projects as assigned.
35. Performs other duties as assigned or required.

2. English Language - Thorough knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
3. Communications and Media - Thorough knowledge of media production, visual, verbal, and interactive communication, and dissemination techniques and methods. This includes alternative ways to inform and persuade via written, oral, and visual media.
4. Administration and Management - Thorough knowledge of business and management principles involved in strategic planning, resource allocation, budgeting, human resources modeling, leadership technique, and/or coordination of people and resources.
5. Public Safety and Security - Thorough knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, or national security operations for the protection of people, data, property, and institutions.
6. Personnel and Human Resources - Working knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, and personnel information systems.
7. Basic knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint); produce data specific reports.
