Essential Job Functions: 1. Manages the telephone system, answers calls and delivers messages to appropriate recipients.

2. Ensures that all safety and accident policies and procedures are in place and consistently followed by members and guests.

3. Handles member and guest concerns, listens to complaints, and resolves issues or escalates them to appropriate managers.

4. Provides administrative support to Food and Beverage Manager, Special Event Director, Club Controller, Executive Chef and
membership Liaison.

5. Creates and distributes monthly event calendars and flyers to members and guests.

6. Assists Catering Department and Food & Beverage Manager with special orders for events, including invitations, floral arrangements,
and entertainment.

7. Assists Accounting Department with monthly mailing of member invoices.

8. Manages guest reservations, takes meal and dining reservations, creates guests' personalized menus.

9. Assists with mail, FedEx, and UPS packages, logging all deliveries.

10. Stages and maintains a neat, inviting, upscale reception area and foyer.

11. Prepares and distributes internal documents such as banquet event orders, room diagrams, change orders and other reports as needed.

12. Completes special projects as assigned.

13. Performs other duties as assigned or required
Marginal Job Functions: 1. Remains familiar with all Club events and menus.
Required Knowledge, Skills, & Abilities: 1. Must be personable, friendly and possess excellent communication skills.
2. Proficient knowledge of MS Office, including Word, Excel, and Outlook; data entry skills;
able to type at least 40 wpm; Internet research.
3. Knowledge of office practices and procedures (e.g., filing, answering telephones)
4. Ability to enter and verify information with accuracy within specific deadlines
5. Ability to understand and follow oral and written instructions.
6. Ability to maintain confidential information.
7. Strong administration skills – organized, thorough, systems orientated with meticulous
attention to detail.
8. Proactive, punctual and reliable



Physical Requirements:
1. Near Vision - Must be able to see details at close range (within a few feet of the observer).
2. Speech Recognition - Must be able to identify and understand the speech of another person.
3. Speech Clarity - Must be able to speak clearly so others can understand you.
4. Travel - Must be able to travel on a daily and/or overnight basis.
5. May be required to work nights or weekends.
6. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
7. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to pens, pencils, and
computer keyboards.

Required Certifications/Licensures:  
Required Education: High School Diploma or Equivalent
Major (if required):  
Required Experience: High School Diploma and three (3) years Administrative/ clerical experience in an office environment.
-OR-
Associate's Degree and two (2) years of administrative / clerical experience in an office environment.
Preferred Qualifications: Experience at a private club or resort.
