Primary Purpose:
Supports graduate admissions and outreach by coordinating events and partnerships, providing accurate information to prospective students, guiding applicants through the admissions process, and supporting timely application review and communication in accordance with institutional policies.

Essential Job Functions:
1. Independently plans and carries out approved outreach events aligned with institutional priorities.
2. Delivers accurate, informative, and non-coercive presentations for graduate audiences.
3. Collects prospective student inquiries during events and outreach activities in accordance with institutional guidelines.
4. Ensures timely and accurate entry of inquiries and outreach activity into the CRM.
5. Independently coordinates approved travel to support assigned geographic areas and outreach activities.
6. Documents travel, outreach activities, recurring questions, and service observations.
7. Develops relationships with approved external partners and organizations.
8. Documents and communicates market observations, trends, and outreach opportunities.
9. Evaluates the quality and operational effectiveness of events and contributes to outreach planning.
10. Collaborates with admissions and marketing teams to support accurate and consistent outreach communications.
11. Independently manages an assigned portfolio of inquiries and applicants from inquiry through final admissions decision.
12. Monitors application status, identifies missing requirements or approaching deadlines, and communicates appropriate next steps.
13. Conducts inbound and outbound communication through approved channels, including phone, email, text, and virtual meetings.
14. Maintains timely and consistent applicant communication and accurate CRM documentation.
15. Identifies inactive applications and conducts appropriate follow-up without pressure, inducements, or unauthorized promises.
16. Records a final disposition for assigned inquiries within established timeframes and documentation standards.
17. Supports the timely routing, processing, and communication of admissions decisions within established authority.
18. Reviews applicant records against published admissions criteria, including GPA, prerequisites, and program requirements, and escalates exceptions or discretionary decisions appropriately.
19. Reviews applications designated as ready for review within established service timeframes.
20. Provides accurate information regarding admissions requirements, program characteristics, and next steps to support informed applicant decision-making.
21. Collaborates with Admissions Services Representatives to support file readiness and resolve application issues.
22. Supports admitted applicant communications regarding required documents, deadlines, and established next steps without making unauthorized promises regarding admission, financial aid, or program outcomes.
23. Identifies and communicates recurring applicant questions, process challenges, and opportunities for improvement.
24. Maintains the accuracy, integrity, and confidentiality of applicant information across all systems.
25. Completes special projects as assigned.
26. Performs other related duties as assigned or required.

Performance in this role is evaluated based on service quality, accuracy, timeliness, professionalism, communication, documentation, collaboration, data integrity, and compliance with institutional policies and applicable requirements. Performance evaluations, compensation decisions, promotions, and other employment actions shall not be based directly or indirectly on inquiry or application volume, admissions or enrollment outcomes, conversion or yield rates, tuition revenue, retention outcomes, or financial aid outcomes.
