Primary Purpose:

Position provides crucial support to the Director of Events and ensures the smooth planning, coordination, and execution of various events serving internal and external customers, contributing to the overall success of the event portfolio.

Essential Job Functions: 

1. Consults with clients to determine objectives and requirements for events such as meetings, conferences, and conventions.
2. Meets with sponsors and organizing committees to plan scope and format of events, to establish and monitor budgets, or to review administrative procedures and event progress.
3. Plans and develops programs, agendas, budgets, and services according to customer requirements.
4. Inspects event facilities to ensure that they conform to customer requirements.
5. Develops event topics and chooses featured speakers.
6. Designs and implements efforts to publicize events and promote sponsorships.
7. Promotes conference, convention and trades show services by performing tasks such as meeting with professional and trade associations and producing brochures and other publications.
8. Organizes registration of event participants.
9. Coordinates services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
10. Obtains permits from fire and health departments to erect displays and exhibits and serve food at events.
11. Arranges the availability of audio-visual equipment, transportation, displays, and other event needs.
12. Evaluates and selects providers of services according to event requirements.
13. Hires, trains, and supervises volunteers and support staff required for events.
14. Confers with staff at a chosen event site to coordinate details.
15. Monitors event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
16. Conducts post-event evaluations to determine how future events could be improved.
17. Maintains records of event aspects, including financial details.
18. Reviews event bills for accuracy and approves payment.
19. Reads trade publications, attends seminars, and consults with other meeting professionals to keep abreast of meeting management standards and trends.
20. Completes special projects as assigned.
21. Performs other duties as assigned or required.

Job Requirements: 

Required Knowledge, Skills, & Abilities: Knowledge:
1. Customer and Personal Service - Working knowledge of principles and processes for providing customer and personal services. This includes needs assessment, meeting quality standards for services, and evaluation of user satisfaction.
2. English Language - General knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
3. Communications and Media - General knowledge of media production, visual, verbal, and interactive communication, and dissemination techniques and methods. This includes alternative ways to inform and persuade via written, oral, and visual media.
4. Administration and Management - General knowledge of business and management principles involved in strategic planning, resource allocation, budgeting, human resources modeling, leadership technique, and/or coordination of people and resources.
5. Public Safety and Security - General knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, or national security operations for the protection of people, data, property, and institutions.
6. Basic knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).

Physical Requirements:

4. May be required to work nights or weekends.
5. Travel - Must be able to travel on a daily and/or overnight basis.
6. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
7. May be required to accomplish job duties using various types of equipment/supplies, to include but not limited to pens, pencils, and computer keyboards.

Required Certifications/Licensures: 

Required Education: Bachelor's Degree

Major (if required: Event Management, Business, Marketing, or a related field

Required Experience: Two (2) to four (4) years of related experience.
