Primary Purpose:
Supports the delivery of the clinical curriculum by ensuring that all necessary elements are in place in a timely, coordinated, and organized manner.

Essential Job Functions:
1. Oversees the administrative aspects of supporting the clinical curriculum through all required clerkships and clinical electives, including the curriculum mapping initiative and managing the available curricular software.
2. Ensures clinical grades are received in compliance with LCME mandated timeframes and provides faculty support for the timely submission of grades to Registrar.
3. Works closely with the faculty to ensure all clinical curricular materials are developed, distributed to the appropriate clinical venues (hospitals, clinics, etc.) and ready to be delivered to students at the appropriate time.
4. Manages the assessment and evaluation system by providing support to faculty in uploading materials and following up with students and faculty to retrieve completed evaluations needed to comply with the LCME accreditation standards. Additionally, provides follow-up of student evaluations at all sites where students participate in academic activity.
5. Ensures all supplies, curricular materials, and assessment tools are ready for use at critical times.
6. Operationalizes all logistical aspects of curriculum delivery and assessment.
7. Works closely with leadership and other medical education leaders to understand how students are experiencing the clinical portion of the curriculum.
8. Oversees the adherence to operational policies and procedures.
9. Reviews operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
10. Collaborates with faculty and administrators in the development, evaluation, and revision of school programs and in the preparation of master schedules for curriculum offerings.
11. Represents institution and/or assigned program(s) at community and campus events, in meetings with other institution personnel, including hospital partners, and during accreditation processes.
12. Assists with the planning and execution of orientation for new program students.
13. Assists in activities required for program accreditation.
14. Ensures compliance with university policies and procedures; county, state, federal, and international regulations; professional association guidelines; and accreditation requirements.
15. Serves as a liaison with the College’s clinical partner(s) to coordinate student placement, scheduling, and other components of the clinical curriculum.
16. Provides logistical support for courses (scheduling of activities, provision of student - or group - specific materials and instructions.
17. Supports on-campus and virtual academic activities (including assessments and course related faculty training sessions) as needed by the program and assigned by the Assistant Dean of the Clerkship Curriculum.
18. Manages all aspects of the clinical program, including Preceptors – developing and updating a contract database, disseminating course materials and important notifications, following up on annual agreements and completion of credentialing, following up on student evaluations.
19. Provides regular updates to the corresponding Assistant Dean for the curriculum on the status of student evaluations in relation to the established deadlines (both institutional and accreditation mandated) and in relation to time-sensitive activities such as the development of the Medical Student Performance Evaluation (MSPE) letter.
20. Establishes and encourages frequent collaboration with the Office of Student Affairs to ensure timely communication and sharing of curricular information that impacts and/or overlaps with OSA functions.
21. Attends meetings, educational conferences, and training workshops and serves on committees.
22. Completes special projects as assigned.
23. Performs other duties as assigned or required.

Required Certifications/Licensures:
Required Education: High School Diploma or Equivalent
Major (if required:
Required Experience: High School Diploma or Equivalent and ten (10) years of experience in academic program management or related student service function.

Bachelor’s degree and seven (7) years of experience in academic program management or related student service function.
--OR—
Master’s degree and three (3) years of experience in academic program management or related student service function.
Preferred Qualifications:
Previous experience in an LCME-accredited medical school.
