Primary Purpose:
Provides leadership and day-to-day management of materials, inventory, distribution, and supply chain activities supporting university operations, including medical, dental, and general supplies across multiple locations. Works closely with the Procurement Department to coordinate purchasing and supply requirements, supports effective supplier relationships, promotes cost efficiencies, and ensures that materials management activities are aligned with university policies, procedures, budgets, and Strategic Spend Management priorities across all locations to support the efficient and effective operation of the University's supply chain function.

Essential Job Functions:
1. Plans, directs, supervises, and coordinates the work of assigned Material Management staff, including hiring, coaching, evaluating, and, when necessary, terminating, in accordance with university policies.
2. Oversees materials management and inventory operations to ensure the timely availability of medical, dental, clinical, and general supplies required to support university operations across multiple locations.
3. Maintains an ongoing partnership with the Manager of Procurement to coordinate material requirements, purchasing activities, supplier needs, and delivery schedules. Collaborates with Procurement to ensure that purchasing decisions reflect operational requirements, inventory levels, budget considerations, and established University policies and procedures.
4. Coordinates with Procurement on supplier and vendor activities, including product availability, pricing, delivery performance, product quality, substitutions, and supply concerns, and provides operational information to support sourcing and purchasing decisions.
5. Develops and maintains inventory management practices that establish appropriate stock levels, reorder points, and inventory controls while minimizing shortages, excess inventory, waste, expiration, and unnecessary costs.
6. Monitors inventory activity and analyzes usage trends to identify changes in demand, potential shortages, excess or obsolete inventory, and opportunities to improve inventory utilization and cost effectiveness.
7. Oversees the receipt, storage, organization, distribution, and replenishment of materials and supplies to ensure that products are appropriately handled and delivered to departments, clinics, and other locations in a timely and efficient manner.
8. Coordinates the distribution of supplies across multiple university locations, working with internal stakeholders to establish priorities and address urgent, recurring, or specialized material requirements.
9. Collaborates with clinical, dental, administrative, and operational leaders to understand current and future material requirements and ensure that supply levels and distribution processes support continuity of operations.
10. Establishes and monitors procedures for inventory control, materials handling, receiving, storage, and distribution to promote accuracy, accountability, efficiency, and compliance with applicable university requirements.
11. Monitors expenditures and supports budget management for materials and supplies by analyzing purchasing and inventory activity, identifying cost-saving opportunities, and providing recommendations to management.
12. Evaluates materials management processes and develops continuous improvement initiatives to improve efficiency, reduce waste, enhance inventory accuracy, and strengthen service to internal customers.
13. Monitors supplier and service performance in coordination with Procurement, identifying recurring issues related to product quality, availability, delivery, or service and participating in the development of corrective actions.
14. Supports supply chain risk management and contingency planning by identifying potential disruptions involving critical supplies, vendors, inventory levels, or distribution and recommending appropriate mitigation strategies.
15. Ensures that materials management activities comply with applicable University policies, procedures, regulatory requirements, and relevant healthcare, dental, safety, and accreditation standards.
16. Maintains and analyzes materials management reports and performance metrics, including inventory levels, usage, shortages, purchasing activity, delivery performance, and other operational measures, and communicates findings and recommendations to leadership.
17. Participates in the evaluation and implementation of inventory management systems, technologies, and process improvements designed to improve inventory visibility, accuracy, forecasting, and operational efficiency.
18. Establishes effective communication and coordination among Materials Management, Procurement, Finance, clinic operations, and other University departments to ensure that material and supply requirements are identified, communicated, and addressed efficiently.
19. Provides guidance and training to Materials Management staff and internal stakeholders regarding inventory procedures, material handling, ordering processes, and established policies and practices.
20. Completes other projects and performs other duties as assigned or required.
Job Requirements:
Required Knowledge, Skills, & Abilities: Knowledge:
1. Through knowledge of principles and practices of materials management, including purchasing, inventory control, receiving, storage, handling, and distribution of supplies, materials, and equipment.
2. Knowledge of procurement procedures and university policies related to purchase requisitions, purchase orders, invoices, deliveries, and material requests.
3. Knowledge of inventory control practices, including stock levels, replenishment, inventory counts, reconciliations, and recordkeeping.
4. Knowledge of computerized purchasing, inventory, and logistics systems, as well as applicable documentation, safety, and material-handling requirements.
5. Administration and Management - Thorough knowledge of business and management principles involved in strategic planning, resource allocation, budgeting, leadership. techniques, and/or coordination of people and resources.
6. Personnel and Human Resources – Through knowledge of principles and procedures for personnel recruitment, selection, and training.
7. Proficient knowledge of MS Office Suite (Outlook, Word, and Excel).

Physical Requirements and Working Environment:

4. Primarily office-based, with occasional travel between clinic sites and other university locations.
5. Ability to occasionally lift and move inventory or equipment weighing up to 25 pounds.
8. May require extended periods of sitting, standing, walking, bending, or reaching while performing job duties.
Required Certifications/Licensures: Certified in Planning and Inventory Management or ability to obtain within one (1) year from the date of employment.
Required Education: Bachelor’s Degree
Major (if required:
Required Experience: 1. Bachelor’s degree and minimum six (6) years’ experience in material and/or inventory management, procurement, warehouse or logistics.
2. Prior supervisory experience.
Preferred Qualifications:
1. Bachelor’s degree in Business, Management, Administration, or closely related field.
2. Experience in a university environment.
3. Experience with SAP (Ariba) or other ERP systems.
4. Experience with e-commerce tools.
5. Certified Professional in Supply Management (CPSM).
