Essential Job Functions: 1. Ensures compliance with university or departmental policies, procedures, and service standards in conjunction with management.
2. Coordinates and monitors a variety of administrative functions between the College of Psychology and other NSU entities, as well as external contacts to ensure efficient operations.
3. Stands in when necessary for Manager of Administrative Services.
4. Coordinates with manager on all aspects of building operations (work orders, access, ticket requests, office preparations, set ups, classroom technology, etc.) for the College.
5. Coordinates college requests for meeting and conference spaces, including room reservation requests, special events, such as luncheons or student ceremonies. Some evenings and weekends may be required.
6. Interprets administrative and operating policies and procedures for employees.
7. Reviews operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
8. Utilizes computer and word processing, computer programs, Sharklink applications, and operating calculators to work with travel requests, tracking, databases, pay records, invoices, balance sheets, or other documents.
9. Coordinates with manager on work of student employees to ensure efficient operations.
10. Performs administrative support tasks, such as preparing communication for web site, announcements, etc. Includes writing, proofreading, transcribing handwritten information.
11. Prepares invoices, travel, and other reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
12. Sets up and manages dean’s office paper and/or electronic filing systems, recording information, updating paperwork, and maintaining documents, such as attendance records, correspondence, or other material.
13. Operates telephone equipment to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments. Serves as liaison with the NSU Telecommunications Office.
14. Reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution.
15. Inventories and orders materials, supplies, and services.
16. Plans for or coordinates office services, such as equipment or supply acquisition or organization, disposal of assets, relocation, parking, maintenance, landscaping, pest control, and/or security services.
17. Learns to operate new office technologies as they are developed and implemented.
18. Completes special projects as assigned.
19. Performs other duties as assigned or required.

Required Knowledge, Skills, & Abilities: Knowledge:
1. Administration and Management - Working knowledge of business and management principles involved in strategic planning, resource allocation, budgeting, human resources modeling, leadership technique, and/or coordination of people and resources.
2. Clerical - Thorough knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
3. Customer and Personal Service - Thorough knowledge of principles and processes for providing customer and personal services. This includes needs assessment, meeting quality standards for services, and evaluation of user satisfaction.
4. English Language - Thorough knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
5. Computers and Electronics - General knowledge of computer hardware and software, including applications, programming, and/or systems configuration.
6. Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).

Required Education: High School Diploma or Equivalent
Major (if required):  
Required Experience: High School Diploma and five (5) years of clerical/administrative experience providing administrative support, or experience managing / coordinating functions with high-level external contacts.

Associate's Degree and four (4) years of clerical/administrative experience providing administrative support, or experience managing / coordinating functions with high-level external contacts.

-OR-

Bachelor's Degree and three (3) years of experience providing administrative support, or experience managing / coordinating functions with high-level external contacts.
Preferred Qualifications: Bachelor's Degree
