Primary Purpose:

Contributes to the university's success by providing administrative services and/or coordinating activities for College of Pharmacy's assigned department. Supports the Associate Dean, Research, and Assistant Dean, Pharmacy Services.

Essential Job Functions: 

1. Coordinates activities with other supervisory personnel or with other work units or departments.
2. Performs general office duties, such as ordering supplies, maintaining records in management database systems, and performing basic bookkeeping work.
3. Operates office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
4. Uses computers for various applications, such as database management or word processing.
5. Performs administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
6. Prepares responses to correspondence containing routine inquiries.
7. Sets up and manages paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
8. Operates telephone equipment to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
9. Schedules and confirms appointments for clients, customers, or supervisors.
10. Arranges conference, meeting, or travel reservations for office personnel.
11. Coordinates conferences, meetings, or special events, such as luncheons or student ceremonies.
12. Completes special projects as assigned.
13. Performs other duties as assigned or required.

Job Requirements: 

Required Knowledge, Skills, & Abilities: Knowledge:
1. Clerical - Thorough knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
2. Customer and Personal Service - Thorough knowledge of principles and processes for providing customer and personal services.
3. Proficient knowledge of MS Office, including Word, Excel, and Outlook; data entry skills; Internet research abilities.
4. General knowledge of office practices and procedures (e.g., filing, answering telephones, and supply/equipment ordering).

Physical Requirements and Working Environment:

Required Certifications/Licensures: 

Required Education: High School Diploma or equivalent

Major (if required: 

Required Experience: High School Diploma and three (3) years of administrative experience in an office environment, and/or coordinating a function within office.

--OR--

Associate's Degree and two (2) years of administrative experience in an office environment, and/or coordinating a function within an office.
