Primary Purpose:

Facilitates pre- and post-operative processes and assists patients and providers in regard to surgical procedures, including but not limited to coordination of pre-surgical testing, handout of materials, communications with surgical facilities, and patient assistance; ensures that patient surgeries and procedures are coordinated with respective hospitals and doctors. Acts as liaison between the department of Oral and Maxillofacial Surgery and surgeon affiliated hospitals and financial entities

Essential Job Functions: 

1. Instructs patients on administrative, financial and pre-operative processes. Troubleshoots any issues that may arise and resolves them in a timely manner.

2. Verifies insurance coverage, obtains authorization, verifies submission of case request (booking sheet) and surgery date, submits clinical information required and communicates with patient, vendors, surgeon and hospital ahead of surgery

3. Coordinates and schedules surgical procedures with hospital, patient, anesthesia, surgeon, and any other involved entities. Coordinates interdisciplinary communication between patient's PCP, other specialists and surgeon.

4. Coordinates the scheduling of pre-op testing and any other tests / appointments necessary prior to surgery. Obtain any diagnostic test results (imaging, lab work) needed for surgery planning.

5. Reviews patient's chart to ensure proper medical clearance is obtained prior to procedure; communicates with hospital and surgeon to ensure clearance is received or status change if needed.

6. Ensures that procedures authorized match procedures performed. Obtains any additional authorizations from insurance plan following surgery performed if needed. Works with surgeon to determine if authorization is required for unscheduled surgeries performed after hours.

7. Coordinates patient referrals to other specialties (Speech, Physical Therapy, Occupational Therapy)

8. Provides excellent customer service for patients, families, representatives and other members of the OMFS team.

9. Works in conjunction with identified Patient Financial Services team member to ensure timely and correct claims filing and to assist with any claims denials.

10. Utilizes the internal aXium program for scheduling.

11. Performs other duties as assigned or required.

Job Requirements: 

Required Knowledge, Skills, & Abilities: 1. Knowledge of dental and medical terminology and understanding of pre-operative requirements.

2. Knowledge of insurance plans, benefits, and authorization process.

3. Knowledge of HIPAA (Health Insurance Portability and Accountability Act) and OSHA regulations.

4. Ability to effectively communicate and deal tactfully with other personnel, visitors, patients, physicians, customers, and the general public.

5. Excellent interpersonal and customer service skills.

6. Ability to manage time effectively and prioritize work assignments.

7. Ability to effectively manage multiple tasks with strong attention to detail.

8. Ability to utilize various computer systems for scheduling, reporting and word processing.

9. Ability to effectively solve complex problems.

10. Ability to work in a multi-cultural and multi-ethnic environment.

11. Ability to work independently and as a team member.

12. Ability to maintain confidential information.

13. Ability and willingness to travel and provide coverage in other areas/facilities, including off-site locations.

Required Certifications/Licensures: 

Required Education: High School Diploma or equivalent

Major (if required: 

Required Experience: 1. Minimum of four (4) years' experience in a patient centered medical / dental environment, preferably in a surgical department.

2. Prior experience with insurance pre-authorizations and scheduling of appointments / surgical procedures.

Preferred Qualifications: 

1. Associate's Degree.

2. Certificate in Dental/Medical Terminology.

3. Certificate in ICD-9 and CPT Coding.

4. Bilingual English / Spanish / Creole.
