Primary Purpose:
Contributes to the university's success by providing administrative services and general office support for the Office of International Affairs.

Essential Job Functions:
1. Serves as the first point of contact for the Office of International Affairs, while responding to inquiries requiring in-depth understanding of work-area international student immigration policies and procedures and resolves complex problems.
2. Implements University or departmental policies, procedures, and service standards in conjunction with management.
3. Composes, edits, proofreads, and types documents and reports, and creates mail merges and performs mass mailings.
4. Reviews and enters data and generates reports from NSU specific software systems to ensure accurate processing and record-keeping; assists with the inputting of student inquiry leads into NSU database.
5. Coordinates activities with other supervisory personnel or with other work units or departments.
6. Schedules and confirms appointments/meetings for office staff, clients, customers, or supervisors.
7. Assists with the scheduling and coordination of the international student orientation and Glacier Tax Preparation student assistance sessions.
8. Communicates with and assists prospective and current international students.
9. Prepares invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
10. Sets up and manages paper or electronic filing systems to record information, or maintains documents, such as attendance records, correspondence, or any other material.
11. Performs general office tasks, including managing emails and accounts, handling phone calls by answering, screening, and directing them, taking messages, providing information, and greeting visitors at the reception desk.
12. Coordinates conferences, and/or specials events such as luncheons and student ceremonies. Arranged travel reservations for office personnel.
13. Reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution.
14. Inventories and orders materials, supplies, and services.
15. Maintains and updates web pages and social media channels.
16. Learns to operate new office technologies as they are developed and implemented.
17. Assists with the hiring, training, and supervision of the front desk graduate assistants.
18. Completes special projects as assigned.
19. Performs other duties as assigned or required.
Job Requirements:
Required Knowledge, Skills, & Abilities: Knowledge:
1. Clerical - Thorough knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
2. Customer and Personal Service - Thorough knowledge of principles and processes for providing customer and personal services. This includes needs assessment, meeting quality standards for services, and evaluation of user satisfaction.
3. English Language - Thorough knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
4. Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).

Required Certifications/Licensures:
Required Education: High School Diploma or Equivalent
Major (if required:
Required Experience: High School Diploma and four (4) years of clerical/administrative experience, and/or coordinating various projects in an office environment,
- OR –
Associate's degree and three (3) years of clerical/administrative experience and/or coordinating various projects in an office environment,
-OR-
Bachelor's Degree and one (1) year of clerical/administrative experience and/or coordinating various projects in an office environment.
